ERP integration

Native Zylio integration for Sage: your supplier invoices checked against your agreements, with no add-on

The native Zylio integration for Sage reads what your Sage already produces: exports of supplier orders and invoices, purchase ledger entries, supplier and item records, attached PDFs. Sage X3, Sage 100 or Sage 1000, in one or several installations. Zylio checks every line against your contracts, quantifies the discrepancy and returns the evidence. No add-on, no write into your ledgers.

Context

Sage in real companies: several installations, several versions

Sage is rarely a single system. One entity runs Sage X3, an acquired subsidiary runs Sage 100, a third kept Sage 1000; charts of accounts differ, supplier master data too, and accounting exports do not share a format from one installation to the next. Supplier invoice control then happens entity by entity, by hand, on a sample, and nobody sees that the same supplier invoices three different prices for the same reference.

This heterogeneity is exactly what Zylio absorbs. It does not require your Sage installations to be aligned, nor a connector to be deployed in each of them. It reads what each Sage can produce, reconciles suppliers and items across entities in its own repository, and checks the whole against the agreements that apply: group contract, local terms, amendments. Sage remains the accounting source of truth; Zylio is the control layer placed alongside it.

Data read

What Zylio reads in Sage

The scope is procurement and accounts payable. Nothing else is requested.

  • Orders and receipts

Supplier orders from the sales management module or the X3 purchasing module, lines, quantities, prices, linked receipts where they exist.

  • Supplier invoices

Invoices entered or awaiting approval, lines and amounts, account assignments, due dates, recorded credit notes.

  • Purchase ledger entries

The purchase journal and supplier accounts, to match what was posted and paid against what was ordered.

  • Suppliers and items

Supplier records, item records, families, units, payment terms, supplier price lists stored in the tool.

  • Negotiated terms

The rates and discounts entered in Sage, and above all those that never were: framework contracts, price schedules, rate cards in PDF.

  • Attached documents

The invoice PDF attached to the entry or received by e-mail, read line by line by the Capture agent and linked to its Sage record.

Connection mode

How Sage data reaches Zylio

The most common channel is the export: every Sage can produce, at a set frequency, an accounting or purchasing export (flat file, spreadsheet, Sage exchange format). It is dropped on an SFTP server or a shared folder, and Zylio reads it. No network opening, no new right in Sage, no change for the accounting team that already produces these exports for the external accountant or the group.

When your version exposes one, a read-only API is added; this is the case on Sage X3 and on recent versions of Sage 100. It allows more frequent reading of orders, invoices and third parties, with a technical account limited to read access. Both routes feed the same analysis and leave the same trace: every value stays linked to the export or the query it came from, with its date.

Documents that do not live in Sage (contracts, amendments, price schedules, invoices received outside the circuit) arrive through a dedicated mailbox, a file drop or a scan. That is often where the negotiated price sits: Sage knows the ordered price, not always the promised one. The Capture agent reads these documents line by line, including schedules of several thousand lines, and links them to the Sage supplier and entity concerned.

The six intake channels, across every ERP

API, file drop, SFTP, e-mail inbox, export, scan: the Zylio integration principle.

Boundaries

What Zylio never changes in Sage

No write into your ledgers, no add-on, no configuration to redo at the next update.

  • No accounting entry

Zylio posts no entry, reconciles nothing, changes no account assignment and does not touch the purchase journal. Accounting stays entirely in the hands of your accountants.

  • No payment, no approval

Zylio does not approve invoices and does not trigger payments. It returns a result; approval stays in your workflow, with the person entitled to give it.

  • No supplier contacted

The claim file is built with its evidence. You decide whether to send it, and you are the one who sends it.

Mechanism

What is checked against what, and the evidence returned

A supplier invoice entered in Sage carries a price, a quantity, an account assignment. Zylio places three things next to it: the order, if there is one; the contract or price schedule that applies to this supplier, on this date, for this reference; and the history of what this supplier invoiced to the other entities of the group. It compares line by line, applies your tolerances, and qualifies every discrepancy: price above the negotiated rate, volume discount not applied, revision outside its due date, off-contract service, duplicate, credit note promised and never applied.

The evidence always takes the same form: the contract clause and the invoice line, highlighted side by side, linked to the page and line they come from. No discrepancy is dropped silently: whatever matches no rule is raised, with its reason. And the same case produces the same decision, today as in six months, because the rules are applied deterministically.

  • Compliance

Checks the invoiced price against the contract, the price schedule, the amendment, discount tiers and indexation clauses.

    Discover
  • Matching

Matches order, receipt and invoice at line level when the order exists in Sage, with your tolerances.

    Discover
  • Exception

Handles invoices without an order, exact or disguised duplicates, missing credit notes and bank details that diverge from the master data.

How it unfolds

How a rollout on Sage proceeds

  1. 01

    Scoping

Sage installations concerned, entities, purchasing categories and suppliers in scope; choice of channel per installation; inventory of the contracts and price schedules to gather, often outside Sage.

  2. 02

    First export and field mapping

Each Sage produces a first export. Zylio maps the fields (supplier code, item code, unit, currency) and reconciles suppliers and items across installations in its repository.

  3. 03

    First pass on history

The agents check the selected history. Your teams review the discrepancies, adjust tolerances per supplier and per category, and decide what deserves a claim.

  4. 04

    Steady state

Exports repeat at the agreed frequency. Qualified discrepancies reach your approvers with their evidence; compliant invoices do not disturb them.

For your teams

What changes for accounts payable and procurement

Accounts payable checks every invoice in scope, not only the ones a controller has time to open. Compliant invoices go through on their own; the others arrive qualified, with the discrepancy already quantified and the document attached. The time given back is not spent re-keying: it goes to the cases that need a decision, and to the close, which stops waiting on disputes nobody has investigated.

For procurement, the group finally becomes readable: the same supplier, the same reference, three entities, three prices, and the contract that says which one is right. A renegotiation starts from what was invoiced, not from the theoretical rate. Between 1 and 7% of margin recovered on the scope analysed: that is the order of magnitude observed, and the diagnostic measures it on your own Sage exports before any commitment.

We do not touch the ERP. We commit to nothing without approval. We contact no supplier.

Nothing is lost. Everything can be checked, everything can be proven.

  • The contract clause and the invoice line, highlighted side by side.
  • Every extracted value stays linked to the exact place in the document where it was read.
  • The same case produces the same decision, today as in six months: the rules are applied deterministically.
  • No discrepancy is set aside in silence. Anything that matches no rule is raised, with its reason.
  • The agent records what it did, in the order it did it: who, what, how much, when.

Frequently asked questions

Do we need to install an add-on or connector in Sage?

No. Zylio reads the exports Sage already produces, accounting or purchasing, dropped on an SFTP server or a shared folder, and, when your version exposes one, a read-only API. Nothing is installed in Sage, nothing needs redoing at the next update.

We run Sage X3 on one entity and Sage 100 on another. Is that a problem?

It is the most common situation, and it blocks nothing. Each installation produces its export in its own format. Zylio reconciles suppliers and items across entities in its own repository, and checks the whole against the agreements that apply, group or local. Your Sage systems stay as they are.

What happens to the result of the control?

It can be reviewed in the Zylio interface and exported, line by line, with the quantified discrepancy, its reason and the evidence. Your teams pick it up in their approval workflow or import it into Sage by their own means. Zylio never writes into your ledgers.

Our negotiated prices are not entered in Sage. How does Zylio know them?

That is the general case: Sage knows the ordered price, not the promised one. You hand over your contracts, price schedules and rate cards as PDFs, by file drop or e-mail inbox. The Capture agent reads them line by line, including schedules of several thousand lines, and Compliance checks them against the invoices.
