Intelligent search: find a quote, a line or a price, with its source, in one question
Intelligent search queries all the quotes and purchasing documents Zylio has already read, down to the line. You ask a question in plain language (what did we pay for this item last year, which quotes from this supplier included delivery) or you filter by supplier, period, item, site. The answer points to the line of the original document.
The problem
The quote exists. Nobody can find it
What you are looking for is in last year’s attachment, in the folder of a colleague who left, or in a spreadsheet whose latest version nobody knows. It exists; it was read once; and finding it again costs more than asking the supplier for a new quote.
Multiple sources and formats
Mailboxes, shared drive, procurement tool, ERP, supplier portal. The same quote is sometimes in three places; the negotiated price is in none.
A history you cannot use
Past quotes exist as PDFs. Knowing what you paid for this item, from this supplier, two years ago, means opening twenty files.
Individual memory
The buyer who negotiated knows where to look. Their successor does not. The knowledge leaves the company with the person.
The mechanism
What the search queries, and how it answers
The search does not dig through files: it queries the repository built by Graph from documents already read line by line: quotes, contracts, price schedules, orders, invoices. Every line is a data point linked to its supplier, item, site, period and tender, and every data point stays attached to the document, page and line it comes from. That link is what makes an answer verifiable.
You ask the question the way you would ask a colleague: “last price paid for this reference”, “quotes received from this supplier in the first half”, “offers that included commissioning”. The question is understood in context (an item under several references, a supplier under several legal names, an abbreviated description) and corrected if needed. You refine with filters: supplier, period, site, spend category, amount, tender status.
The answer is a list of lines, not files. Each line shows its value, its document, its date, and opens on the original page, highlighted. A price found compares in one click with its contract and its history. The result exports, shares with a colleague, or saves as a filter or collection to replay next month. Nothing is changed in the documents; the search reads, it does not write.
Why every answer points to the document, the page and the line.
What you can search
Six questions the repository answers
Every question crosses several axes at once: an item from a supplier over a period, a price on a site, a term in a tender. The answer is always a list of sourced lines, never a list of files to open one by one.
By item
Every quote and price for a reference, even when each supplier names it differently.
By supplier
Quotes received, selected or not, terms offered, price evolution, over the chosen period.
By price
The last price paid, the contractual price, the price proposed in each quote, side by side, with their source.
By tender
The offers from one call for tenders, the comparison grid, the decision taken and its justification.
By term
Quotes that included delivery, extended warranty, a revision clause, a specific lead time.
By site or entity
What another site of the group paid for the same item, from the same supplier or another.
The journey
Three moves, from question to source
No query to write, no field to know. The question, the filters, the line.
- 01
Ask the question
In plain language, with the reference, supplier or context you have in mind. Suggestions complete and correct.
- 02
Refine
Filters by supplier, period, site, category, amount, status. Results sort by date, price or relevance.
- 03
Open the source and act
The line opens on the original page. You compare, export, share, or save the search to replay it.
What changes
A procurement memory that no longer depends on who is there
Preparing a negotiation starts from the real history: what was offered, what was paid, what was refused, and why. The new buyer finds in one question what their predecessor knew by heart. The management controller checks a price without asking anyone. The statutory auditor receives the line and the document, not a verbal explanation, and can open the source themselves.
Collaboration changes too: a result is shared with the link to its source, a collection of quotes is built for a project, a filter is saved for the monthly follow-up of a supplier. And because every document read joins the repository, the search grows with every quote, without any model being trained on your data and without anyone having to file anything.
The use case: the real history on the table before the meeting.
Procurement intelligence · Graph
All your purchasing knowledge, connected and queryable.
Turns the documents the agents have already read (contracts, amendments, schedules of unit prices, rate cards, purchase orders, goods receipts, invoices, credit notes) into a typed graph built on a procurement ontology that ships with the product: entities joined by explicit relationships, each one tied to the document, the page and the line it came from. An edge without a source never enters the graph.
Memory stops being individual. A renegotiation starts from what was actually invoiced, not from the theoretical rate.
What Graph detects
- The same supplier under several legal entities
- The same item under several references depending on the supplier
- Units of measure that do not compare
- An internal classification that has drifted
- Contracts nobody can tell still cover the spend in progress
- Credit notes promised and never applied to the invoice they came from
Nothing is lost. Everything can be checked, everything can be proven.
- The contract clause and the invoice line, highlighted side by side.
- Every extracted value stays linked to the exact place in the document where it was read.
- The same case produces the same decision, today as in six months: the rules are applied deterministically.
- No discrepancy is set aside in silence. Anything that matches no rule is raised, with its reason.
- The agent records what it did, in the order it did it: who, what, how much, when.
Frequently asked questions
Does the search work on the text of PDFs or on data?
On data. Every document has been read line by line and every value is linked to its supplier, item, period and source. You search for a price, a term or a reference, not a string of characters, and the answer points to the original page, with the value highlighted.
What happens if the same item has different names?
The repository attaches supplier, manufacturer and internal references to the same item, and the legal names of one supplier to a single entity. Searching “this reference” therefore returns the quotes from every supplier that offered it, under their own label, with the attachment displayed.
Can a result be shared or exported?
Yes. A result exports as a spreadsheet or structured file, is shared with a colleague through a link to the source, and is kept as a saved filter or favourite collection. Your search history remains available to replay a question or find an old one again.
Which documents can be queried?
All those Zylio has read: quotes, contracts and amendments, price schedules and price lists, catalogues, orders, receipts, invoices and credit notes. Documents already in your ERP enter through export; paper or PDF documents through reading. Hosted in France, no sharing between customers.
Measurable impact in every environment
More than 5 million procurement documents analysed
Between 1 and 7% of margin recovered
on the scope analysed
From 15 to 45% of time given back to teams, per FTE
depending on the scope and on data maturity
Zylio fits into your existing ecosystem.
The ERP runs the process. Zylio handles the exception and recovers the value that escapes it: invoices without a purchase order, line-by-line price discrepancies, duplicates and overbilling, off-contract spend.
Your data under high security.
Zylio meets the most demanding standards, and nothing is committed without your approval.
