Dashboards

Customized procurement dashboards: each role gets its own scope, its own questions and its own proof

Zylio’s customized procurement dashboards give each role (procurement director, management controller, site manager, accounts payable) a view of its own scope, with its own indicators and thresholds. They all rest on the same lines read from the documents, and every figure opens on the invoice or the clause that justifies it.

The problem

A generic dashboard serves no one

The group-wide procurement dashboard exists almost everywhere. It is viewed in committee, once a month, and rarely in between. The reason is simple: it answers the questions of senior management, on the scope of the group, and no one else’s. A site manager cannot find their suppliers in it; a management controller cannot find their cost lines; accounts payable cannot find their blocked invoices.

So everyone rebuilds their own, in a spreadsheet, from partial exports. The figures differ from one table to the next, and the meeting starts with a debate about which one is right. The time spent producing these parallel views is lost twice: once to build them, once to reconcile them.

Customizing a dashboard is not about choosing colours. It is about giving each role its scope, its indicators and its thresholds, on a single data source, so that the figures are the same everywhere and everyone sees what is within their reach.

Mechanism

How a dashboard is customized

  1. 01

    Choose the scope

Entity, site, cost centre, category, supplier, period. The scope bounds what the person sees; it follows their access rights.

  2. 02

    Choose the indicators

From those the documents allow to be calculated: price compliance, contract coverage, gaps, credit notes, lead times, blocked invoices. An indicator that cannot be sourced is not offered.

  3. 03

    Set the thresholds

Per indicator and per scope: a price drift tolerated on one category is not on another. A crossed threshold triggers an alert, not an action.

  4. 04

    Ask your questions

In plain language, in the dashboard: “my suppliers whose price has gone up over six months”. Insight, the procurement intelligence layer, builds the view and keeps it if you wish.

  5. 05

    Open every figure

An amount opens on its lines, a line on its invoice, its page and the contract clause. The path to the proof is the same for every role.

  6. 06

    Share

A view can be shared with a colleague on the same scope, exported to a spreadsheet or the BI tool, and sends a notification when a threshold is crossed.

The questions people ask most often

Concrete examples, by role, with the form of answer obtained.

By role

What each role sees

The same lines read from the documents, with a different scope and different questions for each.

  • Procurement director

Spend by category and by supplier across the group, the share under contract, price gaps concentrated at a few suppliers, proven savings to present.

  • Management controller

Their cost centres and cost lines: budget against invoiced, increases broken down into price, volume and mix, credit notes to accrue, unbudgeted charges.

  • Site manager

Their suppliers, their prices compared with other sites, their missing receipts, their off-contract purchases, their invoices awaiting approval. Nothing from the rest of the group.

  • Accounts payable

Blocked invoices and their reason, invoices without an order, suspected duplicates, credit notes not applied, approval times per approver.

  • Finance director

Documented gaps and their amount, overpayments being recovered, contract coverage by entity, points of attention for the close.

  • Category buyer

The history of invoiced prices on their references, single-source suppliers, contract renewal dates, the material for their next negotiation.

Sharing and rights

One source, views that do not contradict each other

Every dashboard rests on the same lines, read once from the documents and linked by Graph, the knowledge graph layer. The spend figure a site manager sees is the share, on their scope, of the figure the procurement director sees. When two people compare their views, they find the same invoices.

Access rights follow your organisation: by entity, by site, by category, by role. A shared view shows its recipient only what their rights allow. Every view, every export and every threshold change is recorded in the audit trail. Data is hosted in France and is never used to train a model.

Outcome

What changes day to day

The dashboard is opened between two committees, because it answers the questions of the person opening it. A site manager sees in the morning the blocked invoice waiting for them and the supplier whose price has moved; they act on what is within their reach, without waiting for the monthly review.

Parallel views disappear. No more spreadsheet per department fed by hand, no more meeting that starts by reconciling figures. The time handed back to the teams, between 15% and 45% per FTE depending on scope and data maturity, goes to handling the gaps raised, not to producing the report.

Everyone presents figures they can defend. A management controller explaining an overrun shows it invoice by invoice; a buyer requesting a renegotiation brings the real history of prices paid. The scope covered extends at your own pace: from 5% to 100% of your spend verified.

Ask the question. It builds the analysis, and shows where every figure comes from.

What a dashboard does not do

Three limits to know before you start

A Zylio dashboard does not act. It shows, it alerts, it proves; the decision to dispute an invoice, claim a credit note or renegotiate remains your team’s, in your tools. It writes nothing into the ERP and contacts no supplier.

It does not fill the holes. A receipt never scanned or a contract never loaded shows up as data declared missing, not as an estimate. That is sometimes uncomfortable, but it is what makes the other figures credible.

It does not replace analysis. A customized dashboard tracks a chosen scope and chosen indicators; exploring spend, breaking down an increase or comparing entities belongs to the analytics dashboards, on the same data.

Procurement analytics dashboards

Analysis of spend, prices and gaps, every figure sourced.

Procurement intelligence · Insight

Ask the question. It builds the analysis, and shows where every figure comes from.

Translates a question asked in plain language into a query over the graph and the procurement database, computes, and returns the useful form: a figure, a table, a curve, a dashboard. It reads, it does not write. Every value opens onto the lines that make it up, and every line onto its source document.

The delay between the question and the answer. A buyer preparing a renegotiation no longer waits for a slot with the data team.

What Insight detects

  • A category whose price has been drifting for months
  • A contract coverage rate falling, by category and by entity
  • Credit notes outstanding, with whom and for how long
  • A single-source reference with no alternative on record
  • A gap between the budget for a cost line and what was actually invoiced
  • An increase driven by mix or volume rather than price
  • A missing figure: declared as missing, never estimated

Nothing is lost. Everything can be checked, everything can be proven.

  • The contract clause and the invoice line, highlighted side by side.
  • Every extracted value stays linked to the exact place in the document where it was read.
  • The same case produces the same decision, today as in six months: the rules are applied deterministically.
  • No discrepancy is set aside in silence. Anything that matches no rule is raised, with its reason.
  • The agent records what it did, in the order it did it: who, what, how much, when.

Frequently asked questions

Do I need a project to create a customized dashboard?

No. The scope, indicators and thresholds are chosen in the interface, and a question asked in plain language becomes a saved view. What does require upfront work is reading the documents and linking them; and that is done once, for every dashboard.

Can the dashboards of two roles give different figures?

On the same scope, no: they rest on the same lines read from the documents. What changes between two roles is the scope and the indicators displayed. If two views seem to diverge, each opens down to the invoices, and the difference in scope becomes apparent.

Who can see a shared dashboard?

People whose rights cover the scope of the view. A dashboard shared with a colleague who has no access to an entity does not show them that entity. Rights follow your organisation; every view is recorded.

Can I receive an alert instead of checking the dashboard?

Yes. Every indicator can carry a threshold; when it is crossed, a notification arrives with the lines that explain it. The alert triggers no action: it says what happened, with whom and since when, and what follows remains your decision.
